Privacy use ICT facilities
As an employee or student at TU Delft you are able to use all the ICT facilities to which you have been granted access. In so doing you must observe the general rules of conduct for the use of ICT facilities.
In principle, the use and user data of the ICT facilities provided is personal and not transferable. Certain situations may nevertheless necessitate insight into such data being provided. In any such event, the SSC ICT may grant an authorised third party access to these personal data provided the following conditions and procedures are complied with.

As an employee, you always have sole access and rights to read your e-mailbox or to open your personal data folder (home folder). If, for whatever reason, you are unable to read or answer your mails for a long period of time, then a colleague or your immediate manager may, with your permission , request access to your e-mail box from the Service Desk. This means also to access to your personal data folder. The Service Desk will inform him/her of the appropriate procedure.
Exception
The basic principle is that the contents of your e-mail box or personal data folder may only be viewed with your permission. It is, however, conceivable that an exception to this principle must be made on the basis of weighty reasons. For example, conflict situations.In such a case, your immediate manager can submit a request to gain access to your e-mail box or personal data folder, without your permission. Here, your immediate manager must have obtained permission from the Head of Department and the Head of HR.

If your manager wishes to receive detailed information about your telephone use, either your mobile telephone and/or your landline, or your use of printers, he/she should ask your permission. A request to issue detailed information about your telephone or printer use should be submitted, together with your permission , to the Service Desk in your building.

The current range of communication channels enables you to publish information such as your availability or location. For example setting your ‘Out of Office’ reply or current location if you use Unified Communications, giving your colleagues insight into your availability? This information will only be used for that purpose. The SSC ICT guarantees you that this information will not be monitored, provided to others or saved.
